Don\u2019t hesitate to test different methods to see what works best for your typical workflow!<\/p>\n<h3 style=\"text-align: left;\">1. Create a folder system.<\/h3>\n<p style=\"text-align: left;\">Be honest: How many files do you have on your desktop right now? 10? 20? 100? Have you lost count? The folder will appear on your desktop instantly.<\/li>\n<li>To change the folder\u2019s name, double-click on \u201cuntitled folder.\u201d Then, you\u2019ll be able to edit a text box with a new name.<\/li>\n<\/ul>\n<h4 style=\"text-align: left;\">Creating a Folder on a PC<\/h4>\n<ul style=\"text-align: left;\">\n<li>To create new folders in Windows, right-click on your desktop.<\/li>\n<li>Select New &gt; Folder from the menu or press Ctrl + Shift + N.<\/li>\n<li>To rename the folder, click on it, enter a new name, and then press Enter.<\/li>\n<\/ul>\n<p style=\"text-align: left;\">Once you have your folders created, you can divvy up your files. How you organize your folder system will depend on your specific role.<\/p>\n<p style=\"text-align: left;\">For example, I frequently write blog posts containing many visual examples. To simplify the process and keep a record of what I\u2019ve included in the past, I\u2019ve created two folders: \u201cCurrent Examples\u201d and \u201cExample Archive.\u201d<\/p>\n<p style=\"text-align: left;\"><img loading=\"lazy\" decoding=\"async\" alt=\"clean desktop, neatly organized folders labeled \u201ccurrent examples\u201d and \u201cexample archive\u201d\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/Google%20Drive%20Integration\/clean%20desktop_122022-3.png?width=650&amp;height=150&amp;name=clean%20desktop_122022-3.png\" title=\"\" width=\"650\" height=\"150\" style=\"margin-left: auto; margin-right: auto; display: block; width: 650px; height: auto; max-width: 100%;\"><\/p>\n<p style=\"text-align: left;\">When I&#8217;m rounding up examples for a new post from the web, I drop them in the \u201cCurrent Examples\u201d folder. This way, I can easily locate them when I write the post. After scheduling the post, I move the images to the \u201cExample Archive\u201d folder to make room for my next post.<\/p>\n<h3 style=\"text-align: left;\">2. Choose a naming convention for your files.<\/h3>\n<p style=\"text-align: left;\">One of my biggest worries about implementing a folder system was that it would be too difficult to find my files once I got organized \u2014 ironic, right?<\/p>\n<p style=\"text-align: left;\">Between documents, screenshots, and other files for the multiple posts I work on, there are a lot of different items I\u2019m dropping into folders. Files can get lost in the shuffle. That\u2019s why I started using a naming convention to organize my files, which would allow me to locate them quickly.<\/p>\n<p style=\"text-align: left;\">Choose a naming convention for types of files, topics, projects, or any other way that makes it easy to search for them. For example, when I\u2019m creating files for HubSpot Marketing Blog posts, I use this naming convention:<\/p>\n<ul style=\"text-align: left;\">\n<li>MKTG-Draft-OrganizeDesktop<\/li>\n<li>MKTG-Screenshot-OrganizeDesktop<\/li>\n<li>MKTG-GIF-OrganizeDesktop<\/li>\n<\/ul>\n<p style=\"text-align: left;\">This way, it\u2019s easy for me to find files by typing Command + F (Mac) or Control + F (Windows) and typing in the naming convention to narrow my search.<\/p>\n<p style=\"text-align: left;\"><img loading=\"lazy\" decoding=\"async\" alt=\"mac desktop organizing\" src=\"https:\/\/blog.hubspot.com\/hs-fs\/hubfs\/Google%20Drive%20Integration\/clean%20desktop_122022.png?width=650&amp;height=258&amp;name=clean%20desktop_122022.png\" title=\"\" width=\"650\" height=\"258\" style=\"margin-left: auto; margin-right: auto; display: block; width: 650px; height: auto; max-width: 100%;\"><\/p>\n<p style=\"text-align: left;\">This way, I don&#8217;t have to click into my perfectly organized, but likely very full, folders to find exactly what I need. Instead, I can search for and immediately find files using my naming convention.<\/p>\n<p style=\"text-align: left;\">If you\u2019re on Windows, search through your files faster by selecting the correct category. You can use the search bar at the bottom of your screen on Windows 10 or click on the search icon if you have Windows 11.<\/p>\n<p style=\"text-align: left;\">Once the search window opens, you can select one of the tabs underneath the search field. The documents tab will narrow down \u200cyour search. You can also include the keyword \u201cdocuments\u201d in the search field.<\/p>\n<p style=\"text-align: left;\">MacOS has a similar feature. When typing a search term in Spotlight or a Finder window, you\u2019ll see a + button next to the search field.<\/p>\n<p style=\"text-align: left;\">Click this button, and you\u2019ll access different <a href=\"https:\/\/support.apple.com\/guide\/mac-help\/narrow-search-results-mh15155\/mac\">search criteria<\/a>. You can specify the type of file you\u2019re searching for or the file extension.<\/p>\n<h3 style=\"text-align: left;\">3. Experiment with a sectioned wallpaper.<\/h3>\n<p style=\"text-align: left;\">Want to take your folder organization a step further?<\/p>\n<p style=\"text-align: left;\">While your desktop wallpaper is a great place to display a photo of your dog or your latest vacation, a ton of wallpaper options can help you stay organized. I\u2019m partial to using <a href=\"https:\/\/www.cio.com\/article\/217626\/what-is-kanban-workflow-management-simplified.html\">Kanban boards<\/a>&nbsp;to track my different projects, and I\u2019ve found that using a sectioned wallpaper is a great way to keep organized.<\/p>\n<p style=\"text-align: left;\">For instance, you can create a wallpaper with different columns for your backlog, upcoming projects, WIPs, tasks you want to prioritize, and finished work.<\/p>\n<p style=\"text-align: left;\">I\u2019ve also seen people use sectioned wallpapers on different days of the week to keep track of their next due date. I highly recommend this approach if you struggle with deadlines!<\/p>\n<h3 style=\"text-align: left;\">4. Use a Chrome extension to pre-organize your screenshots.<\/h3>\n<p style=\"text-align: left;\">Screenshots are one of the biggest contributors to desktop clutter. When you capture a screenshot on a Mac (Command + Shift + 3) or PC (Alt + Print Screen), the image is saved directly to your desktop.<\/p>\n<p style=\"text-align: left;\">If screenshotting is something you do a lot, you\u2019ll notice that it doesn\u2019t take long to make a mess of things.<\/p>\n<p style=\"text-align: left;\">To avoid having your screenshots automatically saved to your desktop, you can use a screen capture tool such as the <a href=\"https:\/\/www.awesomescreenshot.com\/\">Awesome Screenshot<\/a>&nbsp;extension for Google Chrome.<\/p>\n<p style=\"text-align: left;\">Not only does this tool provide you with more advanced screen capture capabilities \u2014 annotations, selective capture, delayed capture, etc. \u2014 but it also aims to simplify the way you store your shots.<\/p>\n<p style=\"text-align: left;\">With Awesome Screenshot, you can manually choose where you\u2019d like to save your file or <a href=\"http:\/\/www.awesomescreenshot.com\/user\/login\">create an account<\/a>&nbsp;where you can save files for specific projects. Here\u2019s how it works.<\/p>\n<p style=\"text-align: left;\">1. Instead of going to your desktop or a customized folder, your screenshots will go to a cloud storage account. This solution doesn\u2019t use any storage on your device and allows you to access your screenshots remotely.<\/p>\n<p style=\"text-align: left;\">Here is how you can configure this setting:<\/p>\n<ul style=\"text-align: left;\">\n<li>Click on the OneDrive icon in the bottom right corner of your screen.<\/li>\n<li>Look for the OneDrive Help and Settings icon.<\/li>\n<li>Go to Settings, then Account.<\/li>\n<li>Scroll down to Screenshots. You\u2019ll have the option to save screenshots to the cloud automatically.<\/li>\n<\/ul>\n<p style=\"text-align: left;\">MacOS doesn\u2019t have a similar feature, but you can adjust where your Mac saves your screenshots by opening the <a href=\"https:\/\/support.apple.com\/en-us\/HT201361\">Screenshot app<\/a>. It\u2019s building that self-efficacy in that kind of dialogue that you\u2019re having with yourself,\u201d he explains.<\/p>\n<p style=\"text-align: left;\">So if you\u2019re looking for a little coaching to help you stay organized, adding an inspirational message to your desktop can serve as a friendly, daily reminder.<\/p>\n<p style=\"text-align: left;\">Want to create your own motivational wallpaper? Click \u201cUse custom dimensions\u201d in the top right-hand corner and add your dimensions. There is a built-in feature that will tell you the time you spend on specific apps and software so you can boost your productivity.<\/p>\n<p style=\"text-align: left;\">After using Toggl for a couple of weeks, you should know which apps you use the most.
